The tasks that an event coordinator performs are many and very extensive, including functions that you never imagined.

Whatever the reason for the event, whether it is a private or corporate event, the tasks to be considered are the same; space, capacity, production, security, catering, lighting and sound, among a long list of others.

 Strategic planning

For every plan, a good strategy is necessary, the best way being to have a meeting with the client and try to capture in the most detailed way what you want to transmit with your event, offering a personalized attention.

That is to say, knowing the aesthetics, the key points and the objective you want to achieve, this will be the only way we can ensure the desired success.

After listening to the client, the next step is to analyze and extract the strong points in order to contribute ideas to the proposal and thus provide it with value. Of course, this point not only includes listening to our client, but also studying the competition, analyzing their strategies and communicative actions, thus becoming our client’s right hand.

Organization

Once the basis of the project has been defined, we must shape it. At this point the role of the coordinator is to locate the ideal space, recruitment and coordination of staff, catering, transfers, compliance with legal and logistical regulations, among others.

After having controlled all the necessary points for the development of the event we must synchronize all the games. In order of priority, all details must be worked out with the suppliers, ensuring the correct functioning of the technical equipment for lighting and sound.

Finally, a strategic communication plan will be developed to approach the event in the most correct and effective way.

Post-event analysis

One of the differential points that we can offer our client a report of results through which you can have knowledge of the costs, benefits, number of attendees, impact, etc.
